Umm… never mind about the “Unable to expand the folder” issue, another restart of Outlook solved that problem.

But the pictures are still broken.

Hi, looks like a great article, however, all of the pictures seem to be broken, I couldn’t view any of your screen shots.

I also have the same issue as rasika and steve, just get the message, “Unable to expand the folder”. Has anyone solved this?

Oops, small addition. Worth noting that usually you will need to log onto the domain using the resource account at least once and configure Outlook to use the exchange account, to set all the permissions at the system level. Leaving things for 15 minutes or so may do the same thing, but I am always in a hurry with this sort of stuff.

For assigning and managing exchange mailbox permissions try this new tool called security explorer for exchange that a collegue of mine told me about.

With this tool you don’t need to browse multiple menus just for managing single object permissions. All permissions can be easily managed in a tree view.

It also allows for permissions searching, cloning and backup.

Following a bit of t’interwebing, I found the below which suggests the issue with the sent items is by design.

They do however reference a 3rd Party piece of software which accomplishes the goal of having the sent items go into the Shared Mailbox Sent items. ( http://www.ivasoft.biz/unisent.shtml ).

This has been really useful, previously we have just used distribution lists which has been fine but when some people decide they dont want to communicate with others this solution does the trick beautifully many thanks! Some of the people all of the time…..

Excellent article, Andy. I’m interested getting the answer to Jack’s question. I have same question, wanting to be able for all sent emails fall into function mailbox whenever From is selected toward function mailbox. How do I set the rules for it if there’s no easier way?

Hi Andy, thanks again for this article. It actually helped me set up some functional MBs at work. However I have a question based on something that I’ve just noticed.

When email is “Sent As” Account B, which is the functional MB that has been attached to User A’s Outlook, the email doesn’t appear in the Sent Items of Account B in Outlook, but in the overall Sent Items of Outlook. Incoming mails do enter the Account B Inbox though. Why is that? Moreover, is this normal, or does a rule have to be set?

Good thorough article indeed!
There’s only one thing I would like to do in a diferent way but i think Microsoft has made this impossible. I would like to assign instead of “send-as” right “send-on behalf” rights to a security group.

This is not possible from ADUC only users with emailadresses can be added in the send-on behalf box.

I might implement mailbox security for functional mailboxes in your way, but i don’t like it that users need instructions to use send as. For send on behalf users can just go to the functional mailbox and respond or forward to a mail in that mailbox and it gets sent as a send-on-behalf mail.

Hiya A, Do you mean can the rules be run for Account B – when Account Bs Mailbox is attached to Account A Mailbox in Outlook?
If the rules in Account B are server side then they will invoke automatically – if they are client side rules then you will need to be logged in as the account where the rules were created.
